Executive Assistant & Communications Officer

Position Summary:

Reporting to the Chief Administrative Officer, this new position will be responsible for providing confidential executive assistance and administrative support to the CAO, and as required to the RM’s senior management team and will serve as the RM’s Communications Officer.

Significant administrative functions include:

·       Prepares council meeting packages including preparing and gathering correspondence and ensuring timely distribution. Ensures that matters requiring follow-up are shared with appropriate RM management.

·       Writes Council Briefs on a wide variety of matters for the CAO.

·       Participates in all senior management meetings, maintains confidential minutes and records of decisions.

·       Undertakes research, analysis and prepares reports.

·       Prepares a variety of correspondence including confidential human resource matters.

·       Undertakes a variety of special projects such as but not limited to RM surveys, analysis of communications and recommendations for improvements.

Key communications functions include:

·       Develops and implements communication plans, information and materials using a wide variety of media to ensure that essential RM information is provided to RM constituents.

·       Manages the RM’s website for all departments. This will include website development and posting updates as required.

·       Supports on-line Council meetings.

·       Serves as the initial point of contact for all media including monitoring and posting to the RM’s social media and online presence.  Works with Council on media releases as required.

·       Supports the development and enhancement of internal communications.

Qualifications:

The ideal candidate will possess the following:

·       Post-secondary education in communications, marketing or a related field, or a suitable combination of education and experience.

·       CMMA designation would be an asset.

·       Demonstrated relevant communications experience utilizing a variety of social media platforms.

·       Several years of progressively responsible administrative experience, preferably some of which is within the municipal or public sector. Familiarity with Boards and/or Councils is an asset.

·       Knowledge of Municipal governance would be an asset.

·       Knowledge of Catalis software, as well as a variety of social media platforms, and demonstrated knowledge of all Office software.

·       Strong oral and written communication skills, with the ability to work with sensitive and confidential information is essential.

·       Ability to work with a high level of independence on multiple simultaneous priorities.

·       Ability to work a variety of hours including evenings and weekends as may be required.

The RM of Gimli provides a competitive salary based on experience and qualifications as well as a comprehensive benefit package.

This is a new position and is presently being reviewed to determine whether it will be part of the bargaining unit or excluded.
